We are currently seeking a high calibre professional to join our team as an Executive Assistant.

Principal Responsibilities

The primary purpose of this role is to provide executive administrative support for CEO Asia-Pacific of HSBC Asset Management. There is a high volume of work which will require a thorough and thoughtful response, ensuring deadlines are met in an often time pressured environment.  It will be necessary for the role holder to be highly adaptable and resilient.  The role holder will need to be proficient in senior stakeholder management and will need to be a collaborative team player.

  • Act as an efficient but courteous gatekeeper, ensuring that your executive is accessible whilst limiting unnecessary engagements; provide effective day to day support to the assigned executive as appropriate
  • Extensively manage the executive's high-volume inbox - responding directly where appropriate and flagging other urgent actions to the executive promptly and clearly whilst tracking that the request has been responded to. You will also use your initiative to effectively manage the executive's complex diary, resolving any diary conflicts, and anticipate requirements to ensure efficient scheduling of meetings, resulting in best possible use of time for all parties
  • Ensure that the relevant meeting materials and agendas along with appropriate briefing notes are collated and available ahead of all executive meetings
  • Manage frequent and complex travel arrangements (both regional & international) - effective management of itinerary times and costs in line with HSBC policies. This will include coordinating transportation, accommodation, and appropriate liaison with any relevant external parties including clients when needed
  • Scheduling of appointments, coordination of meetings, and actively managing the calendars of assigned executive
  • Coordinate and provide IT / system support
  • Coordination of internal matters and consolidation of various reports
  • Perform ad hoc assignments as required, productively managing a substantial workload without sacrificing quality
  • Effectively manage information risk and report any exceptions to the Group standards to the Line Manager
  • Ensure all Group policies, rules and regulations are complied with at all times
  • Working collaboratively with the HSBC Asset management & Groups wider EA networks
Requirements
  • A demonstrated background of working as a Personal Assistant/Executive Assistant
  • Demonstrates strong organisational & time management skills, is flexible to change and regularly acts on own initiative
  • Superior communication skills, both written and verbal is essential
  • Ability to effectively prioritise conflicting demands and work within a fast paced changing environment
  • Strong interpersonal skills, ability to build and maintain effective relationships with Senior Stakeholders and Executive Assistants
  • Thorough understanding of bank and departmental procedures, functions and activities
  • Strong team player focussed on solutions
  • Experience of working effectively in a high-pressure and challenging environment
  • Flexibility of approach, together with a ‘can-do’ attitude, is key
  • Excellent knowledge of MS Office applications, including use of Outlook as a business tool
  • Previous experience of HSBC’s internal systems/applications would be advantageous
