Context

Real Estate Services:

  • Ensure that Real Estate is a key business enabler, through the adoption of innovative and forward-thinking initiatives relating to the portfolio which is duly supportive of the overarching Bank strategy across Portfolio & Workplace, Workforce Strategy, FM Solutions, Health & Safety, Retail Solutions, Sustainability, Critical Facilities and Risk Management.
  • Oversight and enablement high-quality third-party supplier portfolio management, identifying and implementing opportunities for improvement and acquisition of relevant best in class practises & sharing of these across the HSBC Group.
  • Real Estate teams directly work with ~1000 third party suppliers globally.  As a result, it is imperative that these suppliers are managed effectively.
  • This role is designed to enable the effective management of suppliers by ensuring supplier costs are managed to contract and within budget.  In addition, the role holder will be expected to drive further value from the relationship.

Role Purpose

  • The Finance Cost Manager will play a critical role in managing and optimising third-party supplier costs within the Global Real Estate Function at HSBC. This role is essential for ensuring that supplier costs are aligned with contractual commitments and budgetary constraints, while also driving additional value from supplier relationships.  The role holder will leverage their financial expertise and experience in managing supplier costs to develop and implement strategies, frameworks, and tools that enhance cost management and control.  The ideal candidate will possess a strong financial background, hold professional finance and/or accounting qualifications, and have prior experience in managing supplier costs to budget.  This position requires a proactive approach to identifying risks and opportunities, ensuring effective budget oversight, and contributing to the overall financial health of the organisation.

High-Level Activities:

  • Collaborate with procurement, finance, and external supplier teams to ensure contracts are delivering services in the most cost-efficient way.
  • Regularly monitor and analyse supplier costs against contractual obligations and budgetary targets.
  • Develop and maintain financial models to forecast supplier costs and assess the impact of potential changes.
  • Oversee and advise Value Stream Lead and RES Head of Cost Management on financial contract changes, which are in the best interests of HSBC.
  • Lead initiatives to streamline third party financial control processes and improve cost management practices.
  • Ensure that the invoices from key suppliers reconcile with purchase orders and contractually committed costs and ensure that they are in line with goods/services received, and within agreed budgets.
  • Engage with stakeholders across the organisation to align supplier cost management with broader business objectives.
  • Play a key role, challenging where necessary, at relevant governance forums to ensure contractual and budgetary compliance.
  • Attend Global Supplier Governance meetings and potentially regional and local meetings, where applicable.
  • Support RES regional finance leads in ensuring third party contract accruals are fit for purpose.
  • Support the preparation of papers to Real Estate RCMM, DCOO RCMM, DCOO ExCo, and DBS ExCO. There may also be a requirement to present in RCMMs.

Key Responsibilities

  • Strategy and Framework Development: Define and implement strategies, frameworks, and tools for managing budgets, purchase orders, change requests, invoices, and non-budgeted supplier spend.
  • Budget Oversight and Approval: Provide oversight and advise regional RES Directors on approval of global annual budgets, ensuring adherence to the contractually committed Description of Services (DoS) and maintaining appropriate cost control measures.
  • Change Control Notices (CCNs): Be first financial approver for CCNs that impact the DoS and global, regional, and territory budgets, ensuring alignment with financial objectives.
  • Budget vs. Actuals Management: Maintain global oversight of budget versus actual expenditure, identifying risks and opportunities to optimize financial performance.
  • Operational and Capital Expenditure Management: Manage both operational expenditure (Opex) and capital expenditure (Capex) related to third-party suppliers, ensuring efficient allocation and utilization of resources.
  • Central Fee Management: Simplify the model of allocating and assignment of central fees. Monitor and assign recharge values to the markets each capital year. Work with each regional and market lead to explain and obtain agreement on allocation.
  • Supplier Relationship Management: Collaborate with suppliers to drive further value from relationships, identifying cost-saving opportunities and more efficient financial control processes.
  • Risk Identification and Mitigation: Proactively identify emerging financial risks related to supplier costs and support the resolution of issues to safeguard budgetary integrity.
  • Reporting and Analysis: Prepare detailed financial reports and analyses to provide insights into supplier cost management, supporting decision-making processes.
  • Stakeholder Engagement: Work closely with finance leads, procurement teams, supplier teams and other stakeholders to ensure cohesive and effective supplier cost management strategies.

Requirements

What you will need to succeed in the role:

Functional Knowledge

  • Ability to develop trusted adviser status with Real Estate ExCo, Procurement Teams, and Strategic Supply Partners
  • An understanding of supply contracts is desirable.
  • Ability to understand desired Business/Real Estate strategy and be able to translate this to outcomes effectively.
  • Leadership in ensuring compliance and driving change through a Global organisation and with external outsourced partners.
  • Knowledge and understanding of the HSBC Group organisation is desirable.

Educational Background:

  • A bachelor's degree in finance, accounting, economics, or a related field is preferred. 

Professional Certifications:

  • Certifications such as Certified Public Accountant (CPA), Chartered Financial Analyst (CFA), or Certified Management Accountant (CMA) are preferred.

Experience:

  • Experience working in finance, accounting, or a related field is essential.
  • Experience in cost management, budgeting, and financial analysis is essential.
  • Experience in commercial management is desirable.

Technical Skills:

  • Proficiency in financial software and tools such as Excel, SAP, Oracle, or other financial management systems.
  • Strong analytical, and financial analysis skills.

Knowledge:

  • Understanding of financial regulations, tax and cross border payments
  • Familiarity with cost accounting principles and practices.

Soft Skills:

  • Excellent communication and interpersonal skills.
  • Strong organisational and problem-solving abilities.
  • Ability to work collaboratively in a cross functional team environment including Finance, the market team and the supplier partners.
  • High level of accuracy and attention to detail in financial reporting and analysis.
