The Opportunity:

  • HSBC Markets and Securities Services Transfer Agency Team acts as the Registrar of the Mutual Fund clients, that is responsible for supporting onboarding of its investors and the ongoing dealing, settlement, payment and corporate actions during the fund’s life cycle. The team caters to business across the globe from markets of Singapore and Hong Kong to the east to New York and Bermuda to the west, while having a significance presence in Europe as well. HSBC has a great mix of clients (Asset management companies that has both Traditional and Hedged Funds)

Role is of Subject Matter Expert/Senior Fund Administrator position in Transfer Agency Operations and involves catering to strict dealing/reporting/payment cut offs for key daily Clients across different time zones catering to multiple locations/jurisdictions requiring close supervision, planning and prioritization of associated tasks on daily basis. Key role requirement is of handling day to day administration work in fund processing within Transfer Agency business in a timely and accurate manner and take up tasks/projects as assigned from time to time. Also as a Senior Fund Administrator, the role holder would be expected to take part in following activities additionally:

  • Training and skill set development
  • Reviewing the procedures and controls
  • Handle Critical queries or issues/escalations
  • Help manager to distribute work and track completions as per agreed to cut offs
  • Performing quality monitoring and providing development feedbacks to Fund Administrators
  • Take part in New client/business onboarding
  • Take part in system upgrades and various testing requirements such as User Acceptance testing.
  • Identified areas of improvements/efficiencies/automation opportunities in the process and help obtain requisite support/business funding to help implement such automation.
  • Since it is role that caters to markets in different time zone, the candidate must be flexible to working in different shifts including day shifts, early morning and evening shifts.

What you’ll do:

This role operates in a highly time critical environment and is required to be fully involved in processing of trades (Subscription and redemptions), reporting and settlements activities, corporate actions, fund price and other activities relating to transfer agency functions with focus on below listed responsibility areas:

Service Delivery

  • 100% of time spent in processing / technical aspects of the process.
  • Checking all transactions and activities (depending on business requirement, this role may undertake input and processing of transactions, where in that scenario, the relevant checks will be undertaken by another checker of the same level)
  • Key role for the delivery of a cohesive service to our clients and their investors.
  • Manage high volume and high value transactions and ensure no trades/activities are missed, which would result in claims and adverse client impact.
  • Day to day processing of activities within the department to ensure that all tasks are processed in accordance with agreed procedures and controls and in accordance with relevant fund parameters.
  • Understanding of the business and keeping abreast of development in the market.
  • Suggest and implement improvements to the Transfer Agency processes and procedures in consultation with the Supervisor.

Customers / Stakeholders

  • Process productivity and quality targets are set, monitored and achieved to ensure optimum resource utilization and achievement of business objectives and customer SLA’s agreed with clients.
  • Ensure that the team are customer focused and that a high standard of service is provided.
  • Problem situations are proactively identified and resolved to give maximum customer satisfaction and escalated where necessary. Appropriate measures are taken to improve quality and prevent recurrence
  • Establish and maintain effective relationship with clients and teams & identify areas of service improvements
  • Drive rigorous and customer centric Quality Campaigns and initiatives to increase Quality awareness in the team.
  • All operations are performed as per laid down procedures and ensure all procedural controls are effectively monitored and adhered.
  • Provide training to team members and ensuring all knowledge gaps are closed

Leadership Framework

  • Willing to take up / back up other team-mates’ workloads and tasks, and provide assistance whenever necessary
  • Provide update to Supervisor or Manager on day to day operations.
  • Create an environment where skills and knowledge is openly shared to achieve department and business goals
  • No direct reports. May be given some additional process control function for specific project related activity.

Operational Effectiveness & Control

  • Complete the daily processing timely and accurately
  • Ensure control measures/checkpoints are established to scrutinize exceptions/errors to prevent any operational losses and reviews on these measures are constantly performed.  Procedural changes/new initiatives are reviewed, fully communicated to and implemented.
  • Ensure escalation process is adhered too.
  • Ensure adherence to procedures and FIMs including Compliance policies and Internal Controls.
  • Ensure new business or new processes are understood.
  • Be aware of the business practices and processes associated with the role, and act in a manner that takes account of operational risk considerations.
  • Be aware of the Operational Risk scenario associated with the role, and ensure that all actions during your employment. Review Contingency requirements on a periodic basis and invoke relevant business recovery measures as necessary.
Requirements

What you will need to succeed in the role:

Qualifications

A graduate/ post-graduate diploma or degree in Accounting, Finance and Banking is a must have requirement. Higher qualification not a bar provided aspirations commensurate with the position.

Professional Skills & Experience

  • Knowledge of securities industry essential and preferably experience in handling Mutual Fund investors/investments.
  • Strong computer skills in Excel and Microsoft Word
  • At least 2-3 years of Prior experience in Transfer Agency & Registrar or Fund services operations is must.
  • Working knowledge and prior experience/understanding of regulations such as CASS (Client Money), IMR (Investor Money regulations, GDPR, FATCA and CRS, CSSF.
  • Demonstration of strong knowledge of TA Operational Transaction Activity for the UK/Europe/Asia industry specifically Luxemburg Transfer Agency is desirable.
  • In the current role for 12 Months

What additional skills will be good to have?

  • CISI – Chartered Institute for Securities and Investment Certifications
  • Prior experience in Transfer Agency & Registrar operations
  • Understanding of Market and Mutual Fund operations desirable
  • Practical experience of process reviews and re-engineering would be beneficial.
  • Experience in coaching and mentoring new and junior members of the team is desirable.
