The Opportunity:

  • The primary purpose of the job for the GCB6 Manager is to run the vetting function with engagement with Vendor cross site for multiple regions. The job-holder is responsible for working to improve the efficiency of the whole process and meet the expectations of the internal business customer. Ensure no regulatory breach or Vendor Control failure lead to Operation Risk. This will involve regularly liaising with different sites and the vendor involved in verifications for HSBC.
  • The role holder manages the service delivery of the Vendor and Vetting Ops. team as per the KPI
  • Implement company policy and contribute to the attainment of functional results; Ensure the quality of tasks/services provided by colleagues, involving regular process checks or review of output by a co-worker and/or supervisor.
  • Act as SME to review the DNH/ Exit Recommendation and any risk acceptance;
  • Implement the global L2 control for the site;
  • Provide general guidance/direction to Vendor as well as Vetting Team mentor members to develop their skills and Market as well as Industry Policy & Regulations.
  • Understand and adhere to established policies and procedures in own team
  • Support change initiatives and escalate any concerns

What you’ll do:

Impact on the Business [COMPLETE 3-4 AREAS]

  • Based on Sample check results on Vendor ICR check; Local Check; etc Engage on Vendor to identify the root cause, risk, required for remediation
  • Escalated immediately to Group if Findings on the regulatory checks and internal banking system check trigger any possible breach of Regulatory requirement. impact need to be evaluated and escalated to related party as per Regulation.
  • Monitor for Market and industry policy regulation update and review on Global and Local Procedure and request for SOP Update.
  • Weekly sample check on 5% Internal Blacklist Check to timeline is met, any discrepancy, manager to coach the analyst.
  • Monitor Entity SLA & Quality with Vendor on a weekly basis and Review on forthcoming volume. Arrange Capacity for Cross Support
  • Manager to check the discrepancy with HR onboarding team if any provided target start day has passed but candidate did not join.
  • Track the DNH cases on a monthly basis, identify if any candidate joined the bank without the DNH appeal. Report the DNH/Exit Recommendation MI to HR and confirm with HR whether the candidate is exited/ or declined by the bank
  • Monitor major discrepancy to be followed up by Vendor within 5th working days, any delay in follow up should escalate to Vendor leaders.
  • Perform a 5% sample check on Case recommendation to ensure the control is effective.
  • Manual reconciliation for pervious Enhance Vetting Completed within 3 years cases. Report to HR to update the Employee Profile if Any discrepancy identified. Monthly manual reconciliation for Enhance Vetting completed cases and raise HR Direct case to update the Employee Profile
  • Proactive identification and escalation of issues. Monitor Related actions regularly to completion
  • Maintain equipment, systems and general work environment in good condition, adhering to all appropriate procedures.
  • All data requirements (timesheets, leave requests, absence requests) is completed and updated in a timely manner
  • Issues/problems are effectively investigated and resolved or appropriately referred with recommendations
  • Acquire and update knowledge on procedures related to relevant processes.
  • Provide support in special projects, MI generation and Audits
  • Identify trends that is impacting the delivery of service and finding solutions to address them. All issues should be reviewed and ensure that remediate actions are carried within deadline

Leadership & Teamwork

  • Monthly Review on external email access for Vendor analyst and Vetting staff. Monthly check on the team's mailbox, any findings to be escalated immediately.
  • Ensure Case completed by new joiner is QC before recommendation sent out to HR team. Weekly report extraction to see if the weekly target is met per SOP. If the Quality target is met for 8 consecutive weeks, document the QC score before declaring BAU
  • Contributes to a robust team environment where skills and knowledge is openly shared to achieve team and business goals.
  • Assist the new joiners/Peers/Counterparts in load balancing/crisis
  • Share best practice and learning points to the site and across all Employee Operations team.

  • Ability to exercise analytical and judgemental skills in considering vendor objections pertaining to verifications
  • Excellent Vendor Management and navigate among barriers in improving performance standard and effectiveness.
  • Confident in presenting material to all levels & Trainings to the team on process updates
  • Minimum, basic computer knowledge.
  • Ability to build rapport with wide range of people across different functions
  • Ability to maintain focus while working with voluminous / critical data.
  • The ability to work under pressure, meeting deadlines.

  • Governance data to be delivered correctly and timely to Country, regional stake holder. Instructions/requests to be correctly interpreted, understood and implemented
  • Lead governance forum with HR, Regional Team to review on Performance; Trend & Action.
  • Bring awareness among HR & Vendors on the procure update, proactive steps they need to take, come up with better ideas to streamline the workflow
  • Adhere to ‘Service Quality Standards’ of the team to ensure high Customer Service is delivered at all times.
  • Drive plans for costs and headcount to be within agreed target, and actively identifying cost-saving opportunities
  • Ensure FTE Billing and Vendor Bills are accurate and escalate if there will be any discrepancies. AID and ICATS update
