We are currently seeking an experienced professional to join our team in the role of Lead Project Management Officer.

Business: Wholesale Technology

Principal responsibilities

PMO Governance:

  • Definition, implementation and/or enforcement of program governance and control processes and templates, including reporting calendar.
  • Adherence to Group standards.
  • Definition, set up and management of program governance structure, including terms of reference and organization charts.
  • Secretariat for key program governance forums, including pack preparation and recording of minutes, actions and decisions.
  • Provision of ad hoc support to the Program Manager as required, e.g. Audits, Independent Reviews, Management Updates.
  • Stakeholder Management/ Communications.
  • Identification of key program stakeholders.
  • Creation of stakeholder management and communications plan(s).
  • Development/publication of key program communications.

Reporting:

  • Definition and/or enforcement of consistent reporting standards.
  • Production of and/or quality assurance for program/portfolio status reports prior to issue, including appropriate challenge.
  • Liaison with Program Portfolio Reporting to provide ad hoc requests for information.
  • Planning and Dependency Management.
  • Design, implementation and definition of milestone plans, including reporting levels.
  • Ensure program /portfolio plans are regularly reviewed, including assumptions.
  • Ensure program/portfolio dependencies are reviewed regularly and agreed/managed/escalated appropriately.

Risk and Issue Management/Change Control:

  • Ensure program risks and issues are managed/escalated appropriately, including process definition and regular reviews.
  • Quality assurance across the program/portfolio’s risks and issues.
  • De-duplication of CRAIDs across the program/portfolio.
  • Ensure program/portfolio changes control is defined and changes are managed/escalated appropriately including approval by the relevant governance forum(s) prior to implementation.
  • Quality assurance across the program/portfolio’s change requests.

Financials/ Resource Management:

  • Co-ordination of Business Case (re-)submissions.
  • Resource and capacity planning as appropriate.
  • Definition of cost and benefits tracking mechanisms.
  • Vendor liaison to support Statement of Work definition.
  • Sourcing engagement to ensure appropriate due diligence relating to vendor engagements.
  • Support and input to annual budgeting cycle.

Cost Savings:

  • Tools & accelerators: Support in building capabilities through tools & accelerators & Innovation Ideas Generated by Self.
  • Delivery & Process Excellence.
  • Provide asset class aligned support within the scope of the remit.
  • Act as the “eyes and ears” of the Program Manager; flag items requiring attention.
  • Provision of hands-on support, coaching and challenge to program PMs as appropriate.
  • Pro-actively challenge PMs against Business Cases, both for costs and benefits, and highlight need to re-evaluate/re-priorities.
  • Pro-actively track remediation actions through to resolution as appropriate.
  • Process Excellence: Streamline processes & Be disciplined in all operational practices.
Requirements
  • Educational Background and Qualifications:Bachelor's or higher in related fields like PM, BA, IT. Hold PMP, Prince2 or senior PM certificates, know PM knowledge systems.
  • Project Management Experience:5+ years in project management, 2+ years in PMO. Involved in large, complex project life - cycles, led cross - departmental and multi - team projects.
  • Data Analysis & Process Optimization:Proficient in Excel, PowerBI. Extract key data, identify process pain points from analysis, drive process improvement.
  • Communication, Coordination & Leadership:Excel at communicating and coordinating with all levels and departments. Strong leadership to manage PMO team, guide project teams.
  • Industry Knowledge & Adaptability:In - depth industry knowledge (finance, internet, etc.). Familiar with project traits, biz processes, regs. Adapt quickly to project changes and emergencies.
