  • Entity Maintenance (EM) is part of Data and Analytics Office (DAO) is responsible for set-up and maintenance of Client Entity Reference data and client unique identifiers in ERDS (Entity Reference Data System) Golden Source system. This involves setting up, independently validating the client legal entity status, and maintaining up to date client information for the Global Banking & Commercial banking (CMB) line of business.

  • The function leverages globally consistent operating principles and a standard service proposition to deliver high-quality client data and its ongoing maintenance throughout the client life cycle with HSBC. The function operates globally as one integrated team with to provide service across the group.

  • The function supports the onboarding process by undertaking initial client entity legal verification and then subsequently setting up trading accounts and loading settlement instructions. The function is supported by a hub-spoke model, whereby teams undertake all the processing work for over 56 countries and onshore hub provides business relationship management and support. Given the nature of the data function maintains, the team is also supporting client data readiness for Global Standards, various regulatory demands impacting GBM business including client off boarding.

Role purpose

  • HSBC Data & Analytics Office (DAO) promotes a data-driven culture across HSBC through its three key Pillars of Protect, Connect and Unlock. Entity Maintenance (EM) forms part of the DAO and supports the Protect pillar of the department. The EM Assistant Vice President role is critical for supporting the department strategy of ensuring client data is always fit for the business consumption.

  • This role involves driving strategic initiatives that enhance the efficiency, accuracy, and security of data handling within the organization. The AVP is responsible for overseeing high-level data initiatives, managing complex projects, and fostering a culture of continuous improvement and innovation. By leading cross-functional collaboration, leveraging cutting-edge technologies, and fostering a data-driven culture, the AVP ensures that the organization remains at the forefront of data management excellence.

Governance and Committee Memberships (membership of ExCos, Risk Management Meeting)

  • Nil breaches on conduct, data, and Information Control policy within the process. Immediate escalation on control failures and issues identified, followed by timely DES submission.

  • Nil misses on regulatory reporting (BCAN, HKMA, EMIR, etc.).

What you’ll do:

Principal Accountabilities and Responsibilities (e.g., for Business, Customers and Stakeholders; internal control environment, etc.)

Key responsibilities include some of but not limited to:

  • Develop and execute a forward-thinking vision for the department, aligning with long-term organizational goals and driving technological innovation.

  • Establish and enforce comprehensive data quality standards and metrics to ensure consistent data reliability.

  • Conduct high-level data audits, identify discrepancies, and implement corrective measures to ensure compliance with regulations.

  • Continuously evaluate and identify opportunities for Reference data project optimization and implement advanced data management techniques.

  • Plan, execute and oversee large scale data management projects, ensuring timely delivery and alignment with the strategic deliveries.

  • Collaborate with senior leaders across departments to ensure seamless data integration and address complex data challenges.

  • Responsible for managing budget allocation and cost management for the team, ensuring optimal utilization of the available resources and led the department with cost effective solutions.

  • Lead hiring processes to build and nurture a high performing team by recruiting and retaining the top talents.

  • Continuously evaluate and identify opportunities for process optimization and implement advanced data management techniques.

  • Collaborate with senior leaders across departments to ensure seamless data integration and address complex data challenges.

  • Track key performance indicators, analyse trends, and provide actionable recommendations to the senior/executive management.

  • Responsible for ensuring effective shift operations, including task prioritization, resource allocation, and smooth handovers to maintain operational continuity and address issues promptly.

  • Optimize operational efficiency and streamlining operations with effective collaboration to increase efficiency and contribute cost saves.

  • Collaborate with peers to oversee Risk Control matrices, ensuring robust risk management strategies.

  • Invest in the growth and development of team members by identifying skill gaps and implementing targeted training programs, thereby fostering a culture of continuous learning and professional growth.

Requirements

What you will need to succeed in the role:

  • Maintain HSBC internal control standards, including the timely implementation of internal and external audit points together with any issues raised by external regulators.
  • Address control issues identified during BRCM reviews / audit, working closely with other support functions where cross-functional solutions are required.
  • Stay ahead of the curve by keeping up to date with the latest developments in Reference data management and related technologies.
  • Develop and implement crisis management plans including Business continuity plans (BCP) to ensure no service disruptions.
  • Leverage the cutting-edge tools available internally to enhance consumer experience.
  • Organize team-building activities to strengthen relationships and enhance collaboration within the team.
  • Pursue continuous professional development through training, certifications, and industry events.
  • Oversee the development and maintenance of comprehensive documents for the Reference Data Management process.
  • Lead the planning and implementation of major data system upgrades and enhancements.
  • Actively support HSBC People agenda such as Diversity & Inclusion, HSBC Exchange, etc.
  • 100% completion rate of mandatory training assigned as part of continuous awareness and learning sessions.

  • Design thinking capability to Inspire, Ideate & Implement solutions based on business requirements.
  • Minimum Qualification: B. Com /B. Sc / BCA / B. Tech or equivalent degree (10+2+3)
  • Data Analysis / Management, Mathematics, Engineering, or related education background with key areas including analysis, problem solving and programming skills.
  • Masters in Finance, MCA, MBA or any additional qualification in finance or banking would be preferred.
  • Should bring in experience in business process analysis, mapping current state processes, controls and adopt in defining future state processes in partnership with business and technology teams.
