Context

Real Estate Services:

  • Ensure that Real Estate is a key business enabler, through the adoption of innovative and forward-thinking initiatives relating to the portfolio which is duly supportive of the overarching Bank strategy across Portfolio & Workplace, Workforce Strategy, FM Solutions, Health & Safety, Retail Solutions, Sustainability, Critical Facilities and Risk Management.
  • Oversight and enablement high-quality third-party supplier portfolio management, identifying and implementing opportunities for improvement and acquisition of relevant best in class practises & sharing of these across the HSBC Group.
  • Real Estate teams directly work with ~1000 third party suppliers globally.  As a result, it is imperative that these suppliers are managed effectively.

Role purpose (overall high-level summary of the role)

  • This is pivotal role providing leadership to the operational and commercial management of Portfolio, Transactions and Strategy contracts within Real Estate function
  • Real Estate function manages a number of Global Supplier relationships and this role is responsible for day to day operational management of contractual, commercial and performance management
  • Providing specialist Third Party Management capability in support of the management of the activity with demonstrable capability to manage complex Portfolio, Transactions and Strategy contracts within Real Estate function
  • Oversight of performance against KPIs and develop and implement treatment plans with the supplier and HSBC operational teams to drive the agreed supplier strategy and management objectives by leading on the delivery of regular Third Party Management activity including supplier meetings and reporting
  • Accountable for supporting all Supplier Management activities required by the Lead TPEM and Account Executives to manage the supplier relationship. Responsible for following all Third Party management processes in Archer
  • Liaising with the 2LOD to ensure compliance with standards
  • Delivering support capability in relation to internal control requirements. E.g., data management controls
  • Governance and Committee Memberships (membership of ExCos, Risk Management Meeting)
  • Providing reporting  to the  Real Estate Risk and Control Management meeting

What you’ll do:

Principal Accountabilities and Responsibilities (e.g., for Business, Customers and Stakeholders; internal control environment, etc.)

Business

  • Management of the core global Master Service Agreements and supplier contracts for Portfolio, Transactions and Strategy contracts
  • Providing the enablement services required to deliver the effective management of Global Third Party relationships including supporting negotiation of key activity throughout the contract lifecycle
  • Delivery of Global Third Party Management Controls on behalf of the Real Estate function Risk owners
  • Management of commercial commitments, KRI, KPI, SLA metrics – obtaining evidence internally and externally
  • Identifying issues and managing recovery along with lessons learned and read across actions
  • Develop and Report on performance and delivery of remediation plans with suppliers
  • Being our main point of contact for the Third Parties and as a point of escalation
  • Undertaking horizon scanning and identifying external influences developing action plans where necessary
  • Identify opportunities to use emerging technologies and methods to manage the controls in scope.
  • Delivering an effortless support capability anticipating operational needs and leading on managing the controls required to support the operational activity.
  • Utilise, support, and increase automation and centrally developed golden sources of tools and data to ensure opportunities for efficiencies, consistent reporting and drive change.
  • Identify and manage the delivery of improvement opportunities, measuring and reporting on the value delivered

Customers and Stakeholders

  • Develop and maintain strong, proactive working relationships with the operational leads, Third Parties and internal stakeholders business/functions.
  • Act as an interface with the relevant partners, support and 2LOD areas internally and externally

Risk Management and Controls

  • Ensure Risks & Controls are understood, managed and monitored
  • Effective management of Third Party Operated controls relating to a number of risk types
  • Meetings, data and reporting are recorded and communicated clearly
  • Ensure risks and Issues are mitigated and escalations are managed in line with the Risk Framework
  • Ensuring all Risk Management responsibilities are actioned, tracked, monitored and reported upon in line with policy
  • Evidence compliance to Bank Policies and act as escalation point for actions and outcomes
  • Ensure transparent and accessible reporting to both 2LoD and 3LoD
  • Working knowledge on Operational Risk Framework and supporting tools, for example Helios and Archer

Leadership & Teamwork 

Leadership:

  • Keep up to date with internal and external best practice using that know how to drive increased value
  • Provide professional trusted advice relating to Global Third Party Management
  • Ensure delivery targets are embedded and tracked

Team Management:

  • Provide guidance, personal challenge and growth to support employee development and retention where required

Requirements

What you will need to succeed in the role:

Functional Knowledge

  • Deep and detailed knowledge of Corporate Real Estate Services, contract and commercial administration developed in the Global context
  • Knowledge in Real Estate, specifically Portfolio Management, Transactions and Strategy contracts
  • Professionally qualified to Degree level
  • Ability to develop trusted adviser status in relation to Real Estate function Supplier Management
  • Ability to understand the Real Estate function strategy, outcomes and be able to translate effectively into operational action
  • Leadership in driving change through a Global organization
  • Knowledge and understanding of the HSBC Group organization is desirable
  • Strong business and commercial awareness
  • Strong relationship, collaboration and networking abilities to effectively work with the vendors, other colleagues,  and departments within the bank
  • Possess excellent communication skills, both verbal and written with ability to build relationships by communicating,
  • influencing and negotiating effectively
  • Proven ability to prioritise competing demands – and handle ambiguity
  • Strong organisational, planning and project management skills
  • Demonstrated commerciality on supplier management and SME areas balancing costs, customer demands, meeting high standards and CRE's requirements,
