The Governance Manager will provide Administrative, Reporting and Governance support for HSBC’s Group Chief Information Officer (GCIO), working with key senior stakeholders regionally and globally. Role holders will be expected to exercise confidentiality, tact, and diplomacy skills. This role is vital to the smooth running of the Technology Chief of Staff office.

 

Responsibilities: 

·         Operational Support:

o    Support (and lead where appropriate) offsite planning for the Technology ExCo

o    Streamline daily business operations, ensuring that all administrative tasks are executed efficiently

o    Support and assist the Chief of Staff with the management activities for the GCIO

o    Lead the Technology approval and reporting process for travel and team offsites. 

o    Act as secretariat (where appropriate) for meetings (including agendas, presentations, minutes) and follow through all action points. 

o    Provide secretarial / administrative support to the GCIO CoS and cover for the GCIO’s Executive Assistant as and when required 

o    Assist the Chief of Staff with reviewing and maintaining the GCIO’s scorecard / actions to be taken

o    Support and track People activities and collaborate with HR Business Partners

·         Communication:

o    Lead the tracking, reporting and communication of Technology-wide achievements to Senior stakeholders across HSBC Group

·         Meeting Facilitation:

o    Engage with relevant Technology ExCo members and senior leaders to prepare Monthly Management Meeting agendas, logistics and materials

·         Project Assistance:

o    Support ad hoc requests from Group and Bank-wide stakeholders and support planning, consulting and thought leadership projects as and when required

o    Provide support in project management assisting in coordination and implementation of business initiatives

Requirements

Knowledge & Experience / Qualifications: 

·         Experience of working in a Chief of Staff / Support manager role is essential.

·         Excellent written and oral communication

·         Ability to multi-task and manage time effectively

·         Strong management skills, diplomacy and gravitas 

·         Possesses excellent organisational and planning skills, attention to detail 

·         Proven experience in a Business support or Senior administrative role.

·         Able to build effective working relationships by communicating, influencing and negotiating at all levels

·         Demonstrates initiative and anticipates requirements, self-motivated and forward thinking 

·         Self-driven, pro-active, and energetic with a positive attitude and the ability to prioritise ever changing workload.

·         Experience working in a large financial service organisation
