We are currently seeking a high calibre professional to join our team as a Project Officer and Business Manager - Digital Platforms.

Principal Responsibilities

In this role you will

  • Programme management: Ensure programme documentation is effectively catalogued and stored; coordinate governance meetings and maintain governance calendar; support with minute and action taking; address changes in terms of reference and attendance. Depending on the candidate’s experience, there may also be opportunities to provide more direct support for specific projects, whether related to function itself or across the wider Digital Platforms portfolio
  • Leadership support: Manage the calendar of Head of Digital Platforms Delivery and Operations/ North Star Programme Director, scheduling meetings and proactively resolve meeting conflicts & prioritise scheduling, Organise and prioritise incoming communications, ensuring timely follow-up and execution; Arrange travel and accommodation in compliance with HSBC Travel Policy; Submit and manage expense claims via Fusion in compliance with HSBC Travel & Expense Policy; Monitor and track critical deadlines and meeting action items
  • Business planning: Support in business planning activities which may include financial, technological and resource planning; Maintain a structured travel and expense forecasting process, ensuring alignment with AOP/budget; Establish and maintain cost centre structures for effective tracking and reporting. Reconcile central programme cost centres in a timely and accurate manner, including AssureNet activities
  • Team management: Manage onboarding/offboarding of consultants and contractors
  • Raise PSRs, manage SoWs, coordinate access (building, systems, laptops), arrange seating, infrastructure, and process invoices; manage building access and seating plans; Raise eForms and manage office access in coordination with floor PAC; maintain a register of spare PAC card; Support BCP and BIRO activities for Digital Platforms Operations & Delivery, ensuring full compliance with HSBC standards; co-ordinate team workshops, including logistics, agendas, materials, and on-site support; Maintain office supplies, including weekly fruit deliveries and stationery; maintain holiday trackers, learning logs etc as required
  • This is a global role that requires flexibility and sensitivity to work across time zones and cultures. In return it provides an exceptional opportunity to sit at the centre of truly transformational, customer centric and impacting change
Requirements

To be successful you will need

  • Proven experience in a PMO, project support, or senior-level administrative role in a large, complex organisation
  • Exceptional organisational and multitasking skills with strong attention to detail
  • Excellent interpersonal and communication skills with the ability to manage stakeholders at all levels.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Word); knowledge of Fusion, SharePoint, JIRA, and Confluence is a plus
  • Familiarity with corporate travel, expense, procurement, and onboarding processes
  • A proactive, solutions-focused mindset with the ability to work independently
  • Experience working across cultures with respect and sensitivity
