We are currently seeking an experienced professional to join our team in the role of Asset Servicing Officer


Role Purpose

To supervise the operational efficiency of Asset Servicing processing or maintenance team and ensure that all corporate events are communicated to clients immediately. To ensure prompt and accurate processing of events in accordance with client’s instructions, while complying with existing rules and regulations, internal procedures and customer service agreements. To also control risk by ensuring the daily reconciliation of our position with the depositories and effective monitoring of physical securities held in the vault.

Principal Accountabilities: 

Corporate Event Processing

  • Ensures that corporate disclosures found in the PSE and other publications are carefully monitored
  • Ensures timely and accurate approval of various and complex corporate event information into GHSS and depository systems (ie. eCS, Clearstream)
  • Ensures that entitlements of clients are properly reconciled against the depositories and reviews/approves the adjustments made for any discrepancies.
  • Ensure that client instructions and payments are processed accurately and promptly in line with set service
  • standards and client SLAs/SIs
  • Ensures client SIs are maintained in GHSS and adhered to.
  • Maintaining a regular contact with clients’ Asset Services personnel for update and dissemination of corporate event issues and information.
  • Communicate with HUB, GM Ops, FIN, Philippine Stock Exchange, PDTC, and transfer agents/ registrars, from time to time for ASSET SERVICING- related transactions/issues. 
  • Ensures prompt preparation of accurate and quality responses to clients via swift and email.
  • Ensures that queries are responded to generally on the same day but always within 24 hours. 
  • Ensures database for tax documents are updated and current. 
  • Ensures accurate safekeeping supporting documents submitted by clients for filing of preferential tax rates.. 
  • Liaise with clients on tax documents required by TA /Companies for relevant corporate events.
  • Assists in reviewing SLA and ensuring adherence to the SLA.    

Custody and Reconciliation

  • Responsible in reviewing and checking the registration of physical securities and ensure that physical certificates and documents for safekeeping are physically secured in the vault. 
  • Ensuring that the reconciliation of HSBC position with that of depositories is being done daily.
  • Ensuring that the reconciliation items are resolved within 24 hours.

Report

  • Responsible for checking the accuracy of reports for clients
  • Responsible for the timely preparation of statistical reporting/MI for review by Section Executives.

Risk Control/Compliance

  • Adheres to regulatory compliance and bank policies and procedures. Safeguards the bank from potential losses by strictly adhering to audit recommendations and BIM requirements
  • Maintains HSBC internal control standards, including the timely implementation of internal and external audit points together with any issues raised by external regulators
  • Manages operational risk, including its identification, assessment, mitigation and control, loss identification and reporting

Others

  • Performs other duties as may be designated by superiors.
  • To relieve other staff as requested.
Information

  • Previous Securities Services experience is an advantage (e.g. Client Services, Operations, Settlements, Asset Services/Corporate Actions, Investment Licensing/Registration).
  • General banking operations (e.g. remittances, foreign exchange) or financial accounting or business analyst background, knowledge of stock market activities, equities, fixed income instruments and other securities. 
  • Familiarity with regulators (Philippines Stock Exchange, Philippine Depository and Trust Corporation, Bangko Sentral ng Pilipinas, Bureau of Internal Revenue, Securities and Exchange Commission) and regulations.
  • Able to build relationships and influence others, both internal and external stakeholders.
  • Must be organised, analytical, with keen attention to detail, a fast learner and efficient worker and ability to prioritize tasks.
  • Must possess effective communication (verbal and written) and interpersonal skills. 
  • Must be inquisitive, service and goal-oriented, resourceful, and self-reliant.
  • Must be able to think and work effectively under challenging situations to properly manage multiple tasks and identify any potential issues and resolve them.
  • Must have strong sense of ownership, responsibility, accountability, and teamwork.
