We are currently seeking a high calibre professional to join our team as a Executive Assistant, Global Trade Solutions.
Principal Responsibilities
Embedded Finance is a key strategic priority for HSBC Global Trade Solutions (GTS), targeting to deliver billions in financing balance and over $100 million in revenue. By partnering with leading marketplaces and platforms, we aim to transform how financing integrates seamlessly into digital ecosystems. Collaboration with a major platform is being progress to launch this initiative, while the foundations are being built to scale it as a cornerstone of the GTS business for future.
To deliver the proposition and future vision, we are seeking a Team Administrator to provide high-level assistance to our senior executives and team, ensuring seamless operations and exceptional efficiency in a dynamic business team. This role is pivotal in managing team activities, executives’ schedules, internal communications, and execution of internal processes while fostering coordination across departments and external stakeholders. With a focus on confidentiality, organization, and adaptability, the ideal candidate will thrive in supporting our leadership team and driving operational excellence at the Embedded Finance business.
In this role you will
Support the team’s executives in managing schedules, communications, domestic and international travel, and document, ensuring seamless coordination and efficiency
Oversee office operations, including supplies, equipment, vendor coordination, office seat management, and employee leave management
Handle basic finance processing, department expense tracking, and budget reconciliation for senior executive teams
Draft, edit, and manage reports, presentations, and executive correspondence with precision and alignment to organizational goals
Assist in planning and executing team events, ensuring smooth logistics and follow-up
Act as a point of contact between senior executives, internal/external stakeholders, and visitors, ensuring seamless communication and professional visitor support
To be successful you will need
Proven work experience as a personal assistant to senior executive in large organization or banks
Experience in managing team administration, floor management and event management will be a plus
Proficiency in office management systems and procedures, especially systems for schedule management, expense management and procurement management etc
Outstanding organizational and time management skills
Ability to multitask and prioritize daily workload
Fluency in Cantonese, English, and Mandarin
