The Opportunity:
Role purpose
Process static data setup and application support (Maker / Checker Activity).
Complete assigned tasks within agreed timeframes.
Continuously improve processes and procedures ensuring effective communication and implementation of changes. The job also entails conducting internal audits and regularly reviewing measures to maintain optimum level quality and productivity.
Foster a high standard of staff motivation and leadership to create a positive work environment.
Engage in regular interactions with business partners to strengthen collaboration.
What you’ll do:
Principal Accountabilities and Responsibilities (e.g., for Business, Customers and Stakeholders; internal control environment, etc.)
Impact on the Business/Function
Enable efficient business operations by resolving problems and queries related to core business applications.
Extend strategic support to business and client users, act as the secondary interface between first-line support, system users, application developers, and second-line support in IT or external vendors.
Proactively monitor system interfaces and operations to certify proper functionality.
Manage system issues, obtaining support from IT developers or vendors as needed, ensuring swift corrective action and long-term process improvements.
Represent the business on crisis calls, obtaining input from relevant functional managers as required.
Escalate issues with increasing business impact or where resolution is delayed.
Lead and manage the Accounts & SSIs Data Ops Funds team, providing both administrative and managerial support.
Customers / Stakeholders
Build strong and transparent business relationships.
Responsible for ensuring clear and timely communication about system issues or changes.
Understand business cycles, processes, and peak periods affecting support needs.
Take measures to provide daily support for internal and client users of critical third-party applications.
Handle queries and problems within agreed SLAs.
Foster and promote a client-centric culture within the team.
Operational Effectiveness & Control
Identify and propose enhancements to existing processes.
Responsible for ensuring that self/team complete all mandatory training within deadlines.
Raise and maintain incident reports and problem records.
Meticulously Escalate unresolved issues with increasing impact. (Redundant – already mentioned above in Business/Function/Process)
Be mindful of operational risks associated with the role and act accordingly.
Maintain relevant process MI for the team’s activities, aligning with functional management requirements.
Collaborate with functional management to develop and manage action plans for continuous service improvement.
Management of Risk
Observe the Group Compliance Policy by containing compliance risk in conjunction with the relevant Compliance Department. The term compliance embraces all relevant laws, rules and codes with which the business has to apply.
This will be achieved by observing all relevant processes/procedures and by liaising with Compliance department about new business initiatives at the earliest opportunity. Also and when applicable, by certifying adequate resources are in place and training is provided, fostering a compliance culture and optimizing relations with regulators.
Maintain HSBC internal control standards including the timely implementation of internal and external audit points, together with any issues raised by external regulators
To continually re-assess the operational risks inherent in the business, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures, management restructures, and the impact of new technology in conjunction with the donor Group companies.
Understanding of Group FIMs, Group Audit / Internal Control Review / Compliance reports

Identify and address training needs through development planning, coaching, and guidance.

Provide Weekend Support as and when required by the Business Area.

A good understanding of the financial services industry
Ability to multitask in various processes carried out in Transfer Agency platform
Strong communication skills - Communication required with all stakeholders, users and team members.
Ability to identify process risks and issues which may impact planned deliveries.
Strong business sense and awareness of the key issues/risks in the securities industry.
Develop a good working relationship with users, team members and IT resources and stakeholders across multiple global locations.
Ability to plan and organize workload to meet deadlines, considering relative priorities.
Must be able to take on extra responsibilities as allocated by AVP/VP.

Must be able to work independently and within a team and manage peak periods of high demand.
Flexibility to work in different shifts.
Functional Knowledge
General investment administration experience is essential.
At least two years of operational experience in Fund Administration.
Application support experience is highly desirable.
Minimum Two to three years of experience in the Transfer Agency Industry, Accounting & Valuation Systems.
