The Opportunity:

Role purpose:

  • The role requires to provide administrative and Client support services to client revenue team and Global trust accounting / TFO team. Role purpose is to ensure the Trust finance operations are continually delivered on, maintaining the quality, productivity and resources at optimum level. This role is also in part to facilitate new migration activities and to be a key member for team-wide projects / initiatives for driving operational efficiency and resilience.

What you’ll do:

Principal Accountabilities and Responsibilities (e.g. for Business, Customers and Stakeholders; internal control environment, etc.)

Business Operations

  • Assists TRMs / TFO team to deliver compliant trust / estate administration services to client accounts efficiently and professionally.
  • Assists Team Head in implementing strategies and policies of the company to achieve the business objectives of PWS.
  • Perform activities of Trust Finance Operations viz. Bookkeeping, bank & security reconciliations, data maintenances including Account and Schedule preparations, ad-hoc reports, queries and follow-ups and related actions etc.
  • Daily operations of Central Billing, monthly & quarterly fee reporting, client and trustee payments, fees and invoices processing, operational supports to related stakeholders to handle relationship pricing related issues etc.
  • Complete processing work in accordance with established procedures and standards within the required productivity and quality level.
  • Identify and escalate common fraud / errors / irregular transactions according to procedures / guidelines.
  • Monitor Process productivity and quality and ensure optimum resource utilization and achievement of business objectives and SLAs and KPIs.
  • Complete MI and other business data requirements accurately and present supporting statistics/reports/returns to business/management within agreed timescales.
  • Plan for effective cross training taking into account the Global Contingency requirements.
  • Review Contingency requirements on a periodic basis and invoke relevant business recovery measures as necessary.
  • Carry out effective Operational Risk Assessment by monitoring and implementing risk mitigating plans.

Customers/Stakeholders (Internal)

  • Stakeholder Management ability to engage and build effective relationships with team and stakeholders.
  • Work collaboratively & professionally with all business and functional Stake holders
  • Respond to/complete customer requests/queries, which have standard and non-standard, complete and incomplete information available, to achieve customer satisfaction independently according to the subject area.
  • Respond to business partners' queries and addressing concerns/challenges from business partners. 
  • Assist in consolidating and completing various operation data/reports and ad hoc process information accurately within agreed timeline.

Operational Effectiveness & Control

  • Have in-depth knowledge of TFS policies and procedures for TFO processes / systems and take initiative for reviewing updates and implementing changes with minimal supervision.
  • Assist in analysing and recommending quality / productivity control measures to improve the quality / productivity of the process.
  • Re-assessing the operational risks inherent in the business and implementing changes, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings, and the impact of new technology.
  • Maintain HSBC internal control standards, including the timely implementation of internal and external audit points together with any issues raised by external regulators, accompanied by the appropriate internal control standards relevant to the role.
  • Streamline processes and provide active participation in system automation and other efficiency and integration projects

Leadership & Teamwork 

  • Develop as the subject matter expert in the processes and resolve the team's queries / referred issues, provide advice on cases handling and input / assistance from the technical perspective in team's projects / streamlining initiatives. 
  • Share knowledge and experience with team members, develop as a mentor to new staff, and conduct training & coaching in operation areas to team members.
  • Assist in communicating and implementing procedural changes / new initiatives in the team to achieve established SLAs

  • Evidence of strong analytical, statistical and data mining skills to study trends, make projections and to interpret numeric information. Evidence of strong operational decision making and be able to provide analytical support to the teams                                          
  • Evidence of process management skills with an ability to initiate process improvements     

Knowledge & Experience / Qualifications

  • Post Graduate diploma or Degree holder with major in accounting / finance - accounting background is a must.
  • Qualified accountants or CPA students will be an advantage.
  • Strong knowledge and understanding of Trust accounting, accounting policies and practices, strong operations and workflow capabilities and accounting systems / software
  • Strong skills in MS office – Excel, Word and Power Point.
  • Demonstrated ability to multi-task and work independently, as well as work collaboratively with other teams
  • Strong analytical, problem solving and reporting skills abilities to critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details and apply sound business and technical domain knowledge.
