Provide daily administrative support, for both broad scope and secretarial tasks. Ability to exercise confidentiality, tact, and diplomacy; have sufficient expertise to appropriately support their executive.  Treating all constituents like clients, with a service-oriented attitude, is a must. 

As our Executive Assistant you will:

  • Arrange meetings or convey messages with confidence and competence. Incoming inquiries should be professionally screened, and accurate messages taken
  • Manage emails, keep information confidential, and relay important/urgent matters according to priority
  • Draft correspondence. Organize and oversee filing system for correspondence and important documents related to key topics 
  • Coordinate and manage executive level calendars – set up meetings, detailed travel arrangements/itineraries, and out of office appointments with minimal direction
  • Demonstrate excellent meeting planning skills. Coordinate all aspects of on and off-site meetings including preparing materials. Make hotel and flight accommodations, transportation, meal arrangements, etc
  • Prepare PowerPoint presentations on ad hoc basis (quick turnaround often necessary). Presentations should be creative, thoroughly proofed, and delivered in a timely manner well before meetings
  • Prepare and assist with key documents, such as business plans, financial spreadsheets, reports etc. Assist with special projects as they arise
  • Support for overseas travel and to other US sites as required. Prepare, track, and process expense reports
  • Process invoices as they come in, making sure invoices reflect the amount of services provided. Provide general office management. Keep team supplied with office items
  • Run senior team meeting agendas, employee exchange meetings, and track all action items to completion. Perform other job-related duties as assigned

For this role, HSBC targets a pay range between $81,000.00 and $121,400.00

The final fixed pay offer will depend on the candidate and a number of variables, including but not limited to, role responsibilities, skill set, depth of experience and education, licensing/certification requirements, internal relativity, and specific work location.

Requirements

You´ll likely have the following qualifications to succeed in this role:

  • At least 5 years’ experience working with senior level executives in an administrative capacity
  • Excellent computer skills in Microsoft Word, Excel, Teams, and PowerPoint
  • Ability to pick up information and new skills quickly. Ability to pre-plan and look ahead to prepare for upcoming events or meetings
  • Excellent interpersonal/customer service skills, communication skills, and professional demeanor. Incumbent represents the executive in their absence
  • Extremely organized and detail-oriented with very good follow up skills; shows initiative, interest, and enthusiasm
  • Ability to juggle work and prioritize. Work quickly and efficiently. Meet strict deadlines
