We are currently seeking a high caliber professional to join our team as a Fund Services Officer.

Role Purpose

Contributes towards maintaining and improving customer relationships by assisting VP/AVP Fund Services in capturing all transactions and procedures involved in the fund valuation process.

Principal Accountabilities:

Manage, maintain and enhance customer relationships:
  • Takes ownership in handling daily servicing operations of Fund Services clients
  • Ensures prompt preparation of accurate and quality responses to client queries
    • Handles telephone queries from clients and gives immediate information required  
    • Ensures discrepancies on client holdings, trades, local payment and charges are rectified on time 
  • Coordinates with other sections of the department and with external parties, like GLCM, CAS, LGL and TRS as required when handling queries or addressing issues raised by clients.
    • Investigates snag items for reconciliation in coordination with proper parties
  • Advises clients on problems related to fund services operations and ensures to immediately advise clients of problems avoiding delay in service delivery
  • Assist VP/AVP Fund Services in checking all entries into the system as well as analyzing the valuation practices of the different funds 
  • Acts as the main point person for Fund Services clients on Data Studio
  • Assists in migration of records for new fund clients.  
  • Assists in the preparation of the ff reports:
  • Valuation, Interest accrual and closing prices, Securities transaction and cash movements, and Interest statements on a monthly basis
  • Assist in Global Custody related transactions and servicing. 

The jobholder is not allowed to execute any transaction in the capacity of a managing agent, adviser, consultant or administrator of the investments or accounts of the Fund or of the Fund’s investments

Comply with established service standards:
  • Ensures timely despatch of accurate reports, statements and invoices to clients
  • Responds to queries within the agreed turn around time dependent on client category
  • Ensuring that all other fund accounting entries have been promptly and accurately processed/posted into the system;
  • Double checking that prices form the different price sources have been promptly and accurately processed/posted into the system;
  • Takes ownership on the annual client risk reviews of accounts managed which include reviewing service level agreements, tariff, KYC compliance, and review of documentary requirements.  
  • Maintains HSBC internal control standards, including the timely implementation of internal and external audit points together with any issues raised by external regulators
  • Manages operational risk, including its identification, assessment, mitigation and control, loss identification and reporting

Comply with rules and regulations on AMLA and HKMA requirements:
  • Adheres to processes and controls to identify and mitigate risks and ensures timely escalation of control issues and reputation risks.
  • Maintain awareness of operational risk and minimize the likelihood of it occurring including its identification, assessment, mitigation and control, loss identification and reporting in accordance with section B.1.2 of the Group Operations FIM. 
  • Maintains HSBC internal control standards and addresses audit points and/or any issues raised by regulators in a timely manner.
  • Maintain and observe HSBC internal control standards, implement and observe Group Compliance Policy, including the timely implementation of recommendations made by internal/external auditors and external regulators.  Foster a compliance culture and implement Group Compliance Policy by managing compliance risk in liaison with the Head of Group Compliance, Regional Compliance Officer, Area Compliance Officer or Local Compliance Officer, ensuring adequate compliance resources are in place and training is provided, and optimising relations with regulators.

Experience, Skills and Qualifications  
  • Familiarity with Settlements Operations, general banking operations, trust or accounting and finance
  • Financial accounting background, effective communication skills, knowledge of stock market activities, equities, fixed income instruments and other investments. 
  • Relationship management skills in handling clients, regulators, Companies, transfer agents
