What you’ll do
- Manage diary, co-ordinate travel, accommodation and organise meetings and conferences for the Senior Executive. Ensure costs are contained.
- Support Senior Executive(s) by planning meeting agendas, booking venues, catering, videoconferencing, facilities etc providing full meeting information to invitees. Arrange and reschedule appointments/ meetings to meet unexpected priorities/ requirements.
- Collate papers, agenda and MI ahead of meetings. Monitor and progress all action items as appropriate.
- Support individuals and related persons and build positive relationships through correct understanding of their role in the day-to-day activities of the Function. Manage and maintain up to date Business Recovery Planning. Support New Joiners onboarding.
- Act as the key contact for diary management in the case of all initial contact from external and internal contacts seeking interaction with the supported individuals. Act with discretion and diplomacy when dealing with sensitive issues.
- Support as occasion demands team members with diary, travel, accommodation, meetings and conference arrangements, pertaining to the executives’ remits and needs. Support the executive with HR administrative tasks i.e. team resourcing/recruitment.
- Work with other EAs in the area to support the whole team in terms of sickness, planned holidays and maintaining the appropriate level of coverage within the team. Manage IT and related issues, GSRs etc. ensuring all have necessary equipment and services and that all new joiners are adequately equipped. Ensure that there is full visibility of all team movements and availability.
What you need to have to succeed in this role
- Minimum 5 years proven business administration experience.
- Good communication skills - written and verbal.
- Ability to maintain confidentiality and act with high levels of discretion at all times.
- Good decision-making skills, proven planning and organisational skills, able to assess the importance of competing priorities.
- Ability to work accurately.
- Good knowledge of the Business area and compliance/regulatory issues affecting it
- Good interpersonal skills and ability to deal with executive management, whilst part of a team
- Ability to coach others, ability to work unsupervised, ability to prioritise. High Level IT Skills, attention to detail. Willingness to cover other EAs in the wider team as required to ensure coverage.
What we offer
The pay range for this role is 10166 PLN - 12 000 PLN (monthly, gross).
Variable pay is discretionary, but influenced by Group performance, business/function performance and individual performance.
