Corporate Services plays a key role in managing the Corporate Real Estate and Work Space Environment for the Bank. Corporate Services are involved in project management, branch network development and design, facilities management, environmental and energy monitoring, fixed asset administration as well as being the custodian role of the property/premises expenditure planning for the Bank.

We are now inviting qualified individuals to join this team in the role of Planning and Recharges Manager.

Principal Responsibilities:

The role holder will work as part of Corporate Services (CS) team in Malaysia.

Reporting into the Head of Corporate Services in Country, the role holder will plan and deliver an accurate global Annual Operating Plan (AOP) and rolling Forecasting process for the country by working closely with global, regional and country CS and Finance teams. The role holder will also have responsibility for recharging and inter-company charges plus any ServCo billing activity.

The role holder is required to have an in depth understanding of the CS MI system to ensure the accuracy and integrity of the data and is responsible for ensuring planning and forecasting submissions within the CS MI and Finance systems are fully reconciled by working with both the CS and Finance teams.

The role holder will be expected to develop a comprehensive understanding of CS expenditure and recharges and will produce timely and insightful management information for the Head of CS, Local COO and Finance, based on data from CS and Finance systems, to support decision making.

The role holder will be expected to work with Country and Regional finance teams to ensure CS finances are managed in a robust, consistent and compliant manner, particularly in areas such as vacant space provisioning, accruals, depreciation, rent free amortization and net book values.

Impact on the Business

  • Timely and accurate submission of CS Annual Operating Plans and Forecasts to Finance. 
  • Accurate, timely and relevant reporting provided to support the CS function for both Direct Costs and Charges to the other Businesses and Functions. 
  • Appropriate MI analysis and commentary delivered to understand variances and trends in AOP and forecasting submissions.
  • Use knowledge of financial data, trends and CS metrics to provide advice and recommendations to Head of CS.
  • Coordination with ASP recharges on quarterly forecasts and AOP planning.
  • Act as escalation point of contact for billing queries and supervise corrections / adjustments.
  • Production and analysis of TM1 variance reporting to show how charges to the business compare to CS AOP.
  • Maintain and refresh annual building and management rates in the CS MI Tool using the change rate functionality, and manage ad hoc rate amendments required during the billing year in the CS MI tool.
  • Appropriate responses to recharges queries delivered in a timely and accurate fashion based on a comprehensive understanding of data values, characteristics, variances and trends.
  • Use knowledge of CS and recharges data sources, processes, systems, and interactions to provide robust data governance, identify / resolve errors or anomalies, and drive continuous.
  • improvements, automation and standardization.
  • Work closely with the Operational Intelligence team, CS Function teams and Finance (locally and regionally) to support the effective financial management of Corporate Services.
  • Provide effective guidance and support to the wider CS community on the CS MI system and planning process.
  • Proactive sharing of material that can be used to educate and provide guidelines to the CS community in relation to quality assurance, governance and planning. 
  • Build a network of relationships with colleagues around the world and act as an escalation point for CS billing issues as and when they arise.
  • Communicate appropriately, effectively and proactively on responses to queries with relevant stakeholders where changes will affect them.
  • Improve collaborative working within the team. Build, develop and maintain a good working relationship with HSBC staff at all levels. 
  • Champion and embed best practice management within the team. 
  • Demonstrate proactive support in Planning and Recharges matters.
  • Work effectively with all members of the Operational Intelligence team, CS Function teams and Finance, encouraging collaboration across all work streams.
  • Improve and standardize internal processes and procedures to support financial planning.
  • Responsible for maintaining accuracy and integrity of the planning module in the CS MI system.
Requisitos
  • Financial background and proven ability in financial planning, including being able to contextualize financial data into business activities and conclusions.
  • Analytical background and proven ability in data (particularly financial) analysis, process implementation, and production of MI, including the ability to present data within the context of business activities.
  • Knowledge of HSBC’s financial systems and reporting.
  • Experience in: Development of reports; use of HSBC’s internal recharging mechanisms; implementation of financial procedures, and
    using financial data to support stakeholder engagement and business decision making.
  • Knowledge of HSBC’s financial and billing systems and reporting.
  • Strong attention to detail and accuracy in all work outputs.
  • Ability to link function’s strategic objectives to day to day financial management.
  • Highly organized with ability to priorities a varied and demanding workload.
  • Proven project management skills.
  • Highly numerate.
  • Strong interpersonal skills.
  • Strong team player.
  • Ability to work to tight deadlines in a fast-paced, high profile environment.
  • Support, encourage and participate in a programme of continuous improvement and controls within CS.
  • Undertaking and supporting planning initiatives as requested.
