The Portfolio Services Manager within IWPB, supports the business’s high priority and significant change Programmes and the strategies of the Business. We provide services to Value streams, Regional Portfolios, Programmes and Projects across the business. The Portfolio Services Manager help ensure benefits of change are realised and investments are focused on delivering value to the customers through portfolio management, training, resource planning, and project coordination.
The Opportunity:
The Portfolio Services Manager is part of the Project Management Office (PMO) of the IWPB Change Portfolio.
The activities of the PMO are broadly centralized around the Portfolio Governance, Assurance, Reporting, Value Stream Investment Management and Change Management. This role will act as a source of guidance in supporting the Value Stream Leads for making strategic decisions. This role is responsible for ensuring adherence to the HSBC Change Framework, using the standard portfolio management tools aligned to the groups Strategic Tooling Spine such as Clarity, JIRA, Rally, and working closely with their colleagues the IWPB Transformation team.
What you’ll do:
- Support Resource Practice with regular and month-end reporting of GTC Headcount
- Support monthly Governance reporting, by ensuring alignment of resources to Region/Market/Portfolio/BU as against agreed FRP
- Identify un-allocated resources and follow-up with respective Line managers or PMO contacts for resolution
- Reconciliation of GTC headcount with inputs from various sites, teams and service providers
- Raise Resourcing exceptions and irregularities with concerned teams and ensure appropriate actions are taken
- Maintain absolute hygiene in Clarity with respect to resource profiles and timesheet governance
- Assignment of Clarity tasks for unallocated resources and maintaining proper records of the same to facilitate month-end reporting
- Maintain track of un-billed resources (long leaves, shadow resources, resources on non-funded roles) and reporting of the same
- Issue monthly MI to region/market/LoBs on GTC resources aligned to them, with information on total number of allocated resources and also calling for actions on the un-allocated resources
- Support GTC function in the hiring process, and facilitate co-ordination between hiring managers and HR contacts in exchanging data
- Support Practice/Portfolio leads with ad-hoc headcount data, headcount projections, reconciliation and related queries
- Act as a 'single source' for all resource related data/MI across GTC teams/sites
- Maintain Real time resourcing data across GTC sites
- Strong written and verbal communication skills
- Attention to detail is highly essential
- Investigative and inquisitive bent of mind
- Past experience in Clarity PPM tool
- Strong working skills on MS tools and reporting
- Strong organizational and technical abilities
- Strong interpersonal and multi-tasking skills
What additional skills will be good to have?
HSBC Group Tools such as Clarity / Jira / Confluence / GPDM
Thorough understanding of Billing process, Cost Allocation Methodology, Cost recharges, Value stream Investment Plan, Management & reporting (Investments + Benefits) including GPDM Hierarchy
Relevant training and/or certifications as a Project Management Officer
