We are currently seeking an experienced professional to join our team in the role of Executive Assistant

Principal responsibilities

  • Diary management, email handling, administration of leadership meetings and other key committees, scheduling appointments on behalf of the Programme Office, planning and structuring programmes and itineraries across different time zones. 
  • Proactively identify and resolve conflicting meetings as well as reminding and assist in preparing for important meetings.
  • The role holder must exercise complete confidentiality in their day to day activities due to the nature of information they administer.
  • Delivers excellent service, responds to individual stakeholders and colleagues in the way they plan their time and carry out their duties. Keeps our stakeholders and colleagues informed.
  • Supports the PMO team by providing clear instruction and follow up with regards to information recording and minute taking
  • Ensuring all expenses and invoices are processed and paid within an efficient timeframe
  • Organising international travel arrangements including booking flights and accommodation, arranging visas and planning itineraries
  • The Programme Director’s position is of a global nature so the role holder will be continually challenged with differing time zones.
  • Maintain programme whereabouts/holiday tracker
  • Working collaboratively with other assistants
Requirements
  • Ability to plan and structure programmes and itineraries across time zones to maximise Programme Director’s time and interaction with a global team
  • Previous secretarial / administrative experience working at a senior level in a large financial services organisation
  • Proficient in all Microsoft Office applications
  • Strong interpersonal skills, confident and ability to work at all levels ; Ability to take responsibility for small individual projects (preparation, collation and distribution of information, as appropriate)
  • Professional and able to project a good image to clients/stakeholders
  • Strict adherence to the requirements of confidentiality
  • Energetic, enthusiastic team player; role model and ambassador for HSBC and their executive manager
  • Ability to deal assertively but sensitively with internal and external customers ; Able to work under pressure, multitask and prioritise workload in very short timescales
  • Efficient and productive.  Ability to undertake substantial workload without sacrificing quality.
  • High levels of integrity, handling confidential information and sensitive matters in a professional manner at all times
